Position Overview

This is a full-time, onsite position based at our Resource Center in Oakbrook, Monday through Friday.

Position Summary:

The Education & Clinical Program Admin Asst serves as the key resource for developing, coordinating, and delivering continuing education programs to Athletico's clinical staff across all markets while ensuring compliance with accreditation and licensure requirements. This role provides professional leadership and support by working directly with the Clinical Excellence Team and operational leadership to drive clinical excellence initiatives and educational programming. The position performs a wide array of administrative and strategic duties in support of the Clinical Excellence Team and provides cross-functional support to other Resource Center departments for education events and organizational initiatives.

 

Essential Duties and Responsibilities:

The below is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organization and the overall business objectives of the organization.

  • Oversee the coordination, implementation, and evaluation of continuing education programs while ensuring curriculum meets accreditation requirements
  • Maintain learning management systems, education and clinical program accounts, manage electronic invitations, skill records, clinician lists, and ensure post-activity documentation is captured and retained
  • Collect, reconcile, and prepare invoices for educational activities, manage contract review, calendar management, and coordinate reimbursement materials including CEU pre-approvals and expense management
  • Prepare course materials for internal and external courses, and facilitate delivery of educational initiatives to new hires
  • Lead, manage, and coordinate all Regional Athletico University Lectures ensuring courses are delivered based on state and national education requirements while driving clinician participation year over year
  • Maintain records of Advanced Benefits of Certification applications, retain pre- and post-course education documents, provide notification of non-compliance issues, and ensure all agreements are properly filed
  • Manage shared email accounts, respond to internal and external customer inquiries, provide front-line support for clinician policies and procedures, and coordinate accurate communication materials
  • Summarize curriculum feedback to support course revisions to promote clinical excellence
  • Set up and take down learning spaces for meetings and courses, manage office supplies and mail, utilize software systems to support Clinical Excellence processes, and provide administrative support as requested

Qualifications:

  • Education:
    • High school diploma required; college/university degree or equivalent experience preferred
  • Work Experience:
    • Minimum two years of administrative experience required
    • Previous experience working with clinical education accreditation requirements and standards preferred
  • Certification/Licensure:
    • None required
  • Knowledge and Technical Skills
    • Proficiency with MS 365, Teams, Microsoft Word, Excel, PowerPoint and Outlook
    • Experience establishing and maintaining relationships with individuals at all levels of the organization
    • Must possess effective written and verbal communication skills; must demonstrate professionalism when communicating with outside vendors as well as internal customers
    • Must possess effective time management skills to manage projects with efficiency to meet deadlines
    • Excellent problem-solving skills
    • Must exhibit professionalism, teamwork and a positive attitude
    • Demonstrated ability to consistently communicate a clear understanding of customers’ needs and adapt as appropriate to exceed their expectations

Language Skills:

  • Ability to read, write and speak English proficiently

Physical Demands: 

  • Ability to fulfill office activities including but not limited to remain stationary for extended periods of time (i.e., while working at a desk), stoop/kneel/crouch, travel around the office, communicate with others (verbal and written), and use fine motor skills including fine hand manipulation and keyboarding.
  • Ability to see at close range, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Occasionally lift and/or move up to 50 pounds

Work Environment: 

  • Consistent with a standard office environment, noise level is low with little to no extraordinary environmental factors.

Salaried ranges listed are for full time (40 hour) employees. Additional pay such as incentive, GAP, overtime, and stipends are subject to the rules of each program and may not be available in all locations. Individual base pay depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time.

Minimum Salary/Wage

USD $45,000.00/Yr.

Maximum Salary/Wage

USD $50,000.00/Yr.
