Position Summary

The Scheduling Specialist will provide excellent customer and patient support from multiple sources and oversee scheduling of new and existing patients for all financial classes.  The Scheduling Specialist will be responsible for ensuring scheduling services and expectations are upheld and consistent across the Athletico Platform.

Responsibilities

Essential Duties and Responsibilities

  • Provide high level of customer service to all internal and external Athletico customers.
  • Answer phones, emails, webchats and respond to scheduling requests from patients and referral sources in a timely fashion.
  • Assist with problem solving and resolving any scheduling issues.
  • Provide customer assistance and respond to all customer/patient inquires, complaints, concerns and questions regarding scheduling requests and services.
  • Track incoming calls and emails to schedule for the preparation of reports concerning Scheduling Support and Work4U department activity.
  • Assist with managing the translation/transportation for customers.
  • Collaborate with management on strategic growth and development of the program.
  • Consult with management on all program related agreements, proposals, and contracts.

Additional Duties and Responsibilities

  • Develop and grow customer relations with clients, physicians, case managers, insurance carriers and employers
  • Develop and grow internal customer relations with clinics and resource centers.
  • May be asked to assist in the orientation, mentorship and training of new hires contributing to the program
  • Verify insurance coverage as needed
  • Actively participate in process improvement initiatives to enhance the scheduling support center
  • Perform other duties as required

Qualifications

Education and Experience:  The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High School Diploma or equivalent, bachelor’s degree preferred.
  • 1 – 2 years of scheduling experience required.
  • Excellent communication and Interpersonal and organizational skills.
  • Strong attention to detail and commitment to Customer Service and Quality Improvement.
  • Strong Computer Skills (Word, Excel, Outlook/).
  • Strong Problem Solving ability/High Degree of Initiative; works well independently.
  • Familiarity with rehabilitation/medical terminology preferred.

  • Possess the ability to fulfill any office activities normally expected in an office setting, to include, but not limited to:  remaining seated for periods of time to perform computer based work, participating in filing activity, lifting and carrying office supplies (paper reams, mail, etc.)
  • Frequently required to stand, walk, sit, use hands to feel, and reach with hand and arms
  • Occasionally lift and/or move up to 20-25 pounds 
  • Fine hand manipulation (keyboarding)
  • Requires the ability to perform duties for all work shifts
